How to monitor a multi-vendor meeting room estate?

A meeting room fleet is never homogeneous. It mixes different brands, different generations of equipment, sometimes several operating systems on devices that nonetheless serve the same purpose. This diversity isn't a management accident, it's the normal consequence of purchases spread out over several years, and it affects practically every organization beyond a certain size. The problem, then, isn't choosing a single brand to simplify things: that would mean ignoring what's already in place on the ground.

This topic often stays invisible as long as it doesn't cause a concrete problem, which makes it a classic blind spot, both technical and security-related. Without unified visibility, management happens blindly: you discover a firmware is out of date when an employee reports that the room isn't working, you send someone on-site for an issue that could have been spotted remotely, you replace equipment that's still functional simply because no one anticipated its end of life. Supervision itself has changed in nature. Just pulling fleet data is no longer enough; today's tools analyze it, identifying at-risk equipment before the deadline hits, whether that's end of support or an expiring certification, and sometimes go as far as resolving certain incidents automatically. Artificial intelligence is now being added to this layer, making the fleet more efficient rather than simply more visible. Some tools go even further, pulling usage data such as actual occupancy rates and no-shows, to the point of becoming a building block of smart booking rather than a simple technical supervision tool.

One question remains that each organization settles differently: manage this supervision in-house, or hand it over to an integrator. Keep control on-premise, or delegate to SaaS and only keep the decisions that matter. Neither approach is more legitimate than the other; it all depends on the resources available and the sensitivity of the data passing through these rooms. Knowing this landscape of tools and knowing which one fits which context is precisely what needs to be done before recommending anything at all.
